When you send us a complaint through our complaints form, we collect what you provide: your name, email address and phone number, the kind of stakeholder you are, your description of the facts, the dates, the people concerned, the evidence you describe and any files you attach. You may choose to stay anonymous, but without contact details we cannot reply to you.

We use this information only to handle your complaint under our complaints policy: to acknowledge receipt, check whether the complaint falls within that policy, examine the facts and inform you of the outcome. Each complaint is recorded in a confidential register that helps us follow the deadlines we committed to and improve our practices. The message reaches us through the automation service that receives our website forms, which processes it on our behalf.

Access is limited to the people who need it to handle the complaint, and we keep the file only as long as necessary to process it and to meet our legal obligations.
